Copilot vs ChatGPT for work: which is safer, and which should your business pay for?
By Hero Published Oct 18, 2026 · Updated Oct 18, 2026
The useful detailsFor most Canadian businesses the honest answer is: pick the assistant that sits inside the system you already run. If your email, files and calendars live in Microsoft 365, start with Microsoft Copilot on work accounts. If they live in Google Workspace, start with Gemini. If you run neither, or your people mostly need a strong general writing and analysis assistant, a ChatGPT Business (or Claude Team) workspace is usually the cleaner buy. On safety, the brand matters far less than the account type: the business versions of all four tools say they don't train on your content by default, while personal logins of the same products often do unless someone switches it off (OpenAI, ChatGPT Business overview; Microsoft, Copilot for business).
This page is for owners, office managers and IT leads in teams of roughly 5–300 people who have to approve one tool, not for people choosing a personal chatbot. Prices and plan names were checked on October 18, 2026 and change often.
Is Copilot just ChatGPT?
No, even though staff often treat them as the same thing. They are separate products from separate companies, sold under separate contracts, managed in separate admin consoles:
Microsoft Copilot (Copilot Chat and Microsoft 365 Copilot) is a Microsoft product. On a work account it runs inside the Microsoft 365 service boundary, and prompts and responses are logged under your retention policies and available for eDiscovery (Microsoft, Copilot for business FAQ). Microsoft's own business page now lists "LLM model choice" as a feature of Microsoft 365 Copilot Business, so the model underneath is no longer a single fixed answer.
ChatGPT is OpenAI's product. A ChatGPT Business workspace is governed by OpenAI's Business Terms and enterprise privacy commitments, and OpenAI states it won't train on a Business workspace's data (OpenAI).
The practical consequence: approving one doesn't approve the other. Your AI use policy should name the product and the plan.

Choose by stack: the decision table
This is the original part of this page: start from what you already pay for, then check the two or three things that can change the answer.
Your situation
Start with
Why
What could change the answer
Microsoft 365 business plan, most work in Outlook, Teams, Word, Excel
Copilot Chat on work accounts (included), then paid Copilot seats for heavy email, meeting and document users
Already inside your tenant; enterprise data protection on Entra sign-in; admins manage it with the tools they already know
People mostly need long-form writing or analysis outside Office files; your SharePoint permissions are messy (fix oversharing before paid Copilot)
Google Workspace, most work in Gmail, Docs, Drive, Meet
Gemini on work accounts
Gemini features are included in Workspace business plans; data handling sits under your Workspace agreement
Your plan tier limits which apps include Gemini; check before promising features to staff
Neither, or a mix of personal Gmail and local files
ChatGPT Business or Claude Team
A shared, admin-controlled workspace without migrating email
A minimum of 2 seats on ChatGPT Business; prices are in USD
Both Microsoft 365 and heavy writing or research roles
Copilot Chat for everyone, plus a small ChatGPT Business or Claude Team group for writers and analysts
Keeps the default inside your tenant and pays for a second tool only where it earns its seat
Two tools means two policies, two offboarding steps, two settings reviews; see AI tool sprawl
Regulated or client-confidential work (any stack)
The business plan of whichever tool matches your stack, after a short vendor check
The contract and admin controls matter more than the model
Client contracts that restrict where data is processed; check before anyone uploads files
If two rows fit, choose the one that adds the fewest new accounts. Every extra tool is one more place a leaver's access has to be removed.
Which is safer: Copilot or ChatGPT?
Neither is "safe" or "unsafe" on its own. The useful question is which account people sign in with, and what the admin can see and switch off. Here is the comparison by what an owner can actually control:
Microsoft 365 boundary, your retention policies, eDiscovery
OpenAI Business Terms and enterprise privacy commitments
Anthropic commercial terms
Your Google Workspace agreement
Who manages users
Microsoft 365 admin centre
Workspace owners and admins
Owners
Google Workspace admin console
Works on files you already store
Yes, with a paid Microsoft 365 Copilot seat (grounded in your Microsoft 365 content)
Through uploads and connected apps you enable
Through uploads, projects and connectors you enable
Yes, in Workspace apps on eligible plans
Biggest real-world risk
Copilot surfaces files people can already open; bad SharePoint permissions become visible
Staff using personal ChatGPT logins next to the business one
Same personal-vs-business confusion
Personal Gmail accounts used by mistake
Three points matter more than anything in that table:
The personal-account trap. Microsoft says enterprise data protection applies when users sign in with Entra (work or school) accounts; a personal Microsoft account gets consumer terms (Microsoft Learn, which Copilot for your organization). ChatGPT, Claude and Gemini have the same split. The plan-by-plan training matrix shows how big the difference is.
"Not trained on" is not "not stored." Every business plan keeps chats for some period. Decide what may go in at all; our list of what information should not go into AI is a good starting rule.
Copilot follows your permissions. A paid Microsoft 365 Copilot seat can draw on content the user already has access to. If an old HR folder is shared with "everyone," Copilot makes that easier to find. Fix sharing first; our Copilot training guide lists the tenant checks.

Notes
Microsoft Copilot Chat
Included
For Microsoft Entra users with an eligible Microsoft 365 subscription (Microsoft)
Microsoft 365 Copilot Business add-on and other bundles

Our Copilot training page keeps the add-on and Business Standard bundle prices; Microsoft is running a first-year promotion on annual add-on commitments from July 1 to December 31, 2026
ChatGPT Business, Standard seat
US$25 monthly, or US$20 billed annually
Minimum 2 seats in total; OpenAI notes pricing may vary by country and currency (OpenAI)
ChatGPT Business, Premium seat
US$125 monthly, or US$100 billed annually
Higher usage limits; can be mixed with Standard seats in one workspace
The cheapest sensible pilot for a Microsoft 365 shop is usually zero new licence cost: turn on Copilot Chat, train people, and watch usage before buying paid seats. A ChatGPT Business pilot starts at two seats.
Use this with whoever owns AI decisions. Score each candidate 0–2 per row; the highest total wins, ties go to the tool that adds no new accounts.
Question
Copilot
ChatGPT Business
Claude Team
Gemini
Does it run inside the email and file system we already pay for? (2 = yes, 0 = separate)
Can our admin remove a leaver's access the same day?
Does the business plan say it doesn't train on our content by default?
Do the top three tasks we listed work well in it? (test with real, non-sensitive examples)
Is the per-seat cost acceptable for the people who'd use it daily?
Will it replace a tool people use now, rather than add one?
Can we explain the account rule in one sentence? ("Copilot, signed in with your work account")
Write the result into your tool-approval record. If you don't have one yet, the AI governance framework includes a four-step approval flow, and the shadow AI guide shows how to find the tools people already use before you choose.
Testing the tools on your own work
Feature lists don't tell you which assistant your team will actually use. Run a one-week side-by-side on three tasks that happen every week and are easy to check: summarizing a long email thread, drafting a client-ready reply from rough notes, and turning a spreadsheet export into a short written summary. Use made-up or already-public examples, not client files, until the business plan is in place.
Ask two questions at the end: which output needed less fixing, and which tool did people open without being reminded? The second answer is usually the deciding one. A tool that sits in the sidebar of Outlook or Gmail gets used; a tool in a separate browser tab often doesn't.
Common mistakes when choosing
Buying paid Copilot for everyone on day one. Usage is usually uneven. Start with Copilot Chat and a few paid seats, then decide.
Approving a brand without naming the plan. "We use ChatGPT" lets someone use a personal account for client work.
Picking two tools with no owner. Each tool needs one person responsible for settings, seats and leavers.
Skipping training. People who get a short hands-on session on their own tasks use the tool better and make fewer data mistakes. Hero's tool-specific sessions cover Copilot, ChatGPT and Claude.
Where Hero fits
Hero is tool-neutral and doesn't resell software, so the recommendation is whatever fits your stack. If you want a second opinion before buying seats, a team training session or an AI Readiness Assessment can include the tool choice. For a low-commitment start, the AI Lunch & Learn is C$899 + HST for your team, and the public workshop is C$129 per person; details are on the pricing page.
FAQ: Copilot vs ChatGPT for business
Is Copilot safer than ChatGPT for business?
On work accounts, both say they don't train on your content by default. Copilot's advantage is that it sits inside your Microsoft 365 tenant, retention and eDiscovery. ChatGPT Business's advantage is a separate, simple workspace. The bigger risk for both is staff using personal accounts.
Is Microsoft Copilot the same as ChatGPT?
No. They are different products from different companies with different contracts and admin controls. Microsoft lists model choice as a Copilot Business feature, so don't assume they behave identically.
Do we need paid Copilot if we already have Microsoft 365?
Not to start. Copilot Chat is included for Entra users with an eligible Microsoft 365 subscription. Paid Microsoft 365 Copilot adds Copilot inside Word, Excel, PowerPoint, Outlook and Teams, grounded in your work content.
Should a Google Workspace business use ChatGPT or Gemini?
Usually Gemini first, because it's included and governed by your Workspace agreement. Add ChatGPT Business or Claude Team only for roles where testing shows a clear gain.
What about Claude?
Claude Team is a strong option for writing- and document-heavy teams that don't want an assistant tied to an email suite. See our Claude training page for plan details.
