ChatGPT training for employees in Canada

Hero delivers practical ChatGPT training for Canadian employees — remote nationwide, or face-to-face around Toronto. The first thing we settle is usually ignored: personal ChatGPT Plus logins versus a company-owned ChatGPT Business workspace. That fork decides who keeps the chat history after a departure, whether OpenAI may train on the work by default, and whether an admin can cut access the same afternoon.

Free AI Hour monthly · public workshop from C$129 per seat · 1:1 coaching C$295 per session · private team training from C$2,500. Before tax.

ChatGPT Plus vs Business for teams: the decision table

ChatGPT Plus is a personal subscription. ChatGPT Business (formerly ChatGPT Team, renamed August 29, 2025) is a shared company workspace with admin controls. OpenAI's Help Center and Enterprise privacy page, checked October 16, 2026:

The practical rule: if more than one person is putting client, employee or confidential work into ChatGPT, Plus is the wrong plan. A personal account leaves when the person leaves, training defaults sit with each individual, and the company cannot prove what went in. Business (or Enterprise for larger controls) is the plan that matches Canadian privacy accountability: your organization stays responsible for personal information it hands to a processor and needs contractual or other means to protect it (OPC, guidelines for processing personal data across borders).

Workspace setup checklist before ChatGPT training

Ask whoever will own the Business workspace to finish this list before the session. Each item has delayed a training day somewhere.

  1. Create or confirm the Business workspace. Not a collection of Plus accounts. Confirm the minimum of two seats is paid and that billing sits on a company card or invoice, not a staff member's personal card.
  2. Invite people with work email. Prefer company domains. Turn on SAML SSO if your identity provider supports it, so leavers lose ChatGPT access when their work login is revoked.
  3. Assign Standard vs Premium seats. Standard is enough for most office roles. Premium (5× Standard usage, no 5-hour usage limit per OpenAI's overview) is for people who live in ChatGPT all day. You can reassign seats later.
  4. Check data retention. Workspace admins can control how long conversations are kept. Deleted chats leave OpenAI's systems within about 30 days unless law requires longer retention (Enterprise privacy).
  5. Decide which apps and custom GPTs are allowed. Admins control which apps connect to internal sources. External sharing of custom GPTs is a separate decision; default to internal-only until you have a reason.
  6. Write three rules on one page. Work account only; what never goes in (passwords, ID numbers, bank details, health information); every important output gets a human check. Our employee AI use policy template covers the wording.
  7. Have three people sign in once before the day. Expired passwords and multi-factor prompts are the classic first-hour time sink.

A 3-hour ChatGPT training agenda for employees

Sized for a closed group of about 6–20 people who already hold Business seats. Schedule it as private team training from C$2,500 — remote for any Canadian province, or at your office via Toronto and GTA training. Smaller options: one public workshop seat at C$129, or a 1:1 coaching block at C$295 for 90 minutes.

12 starter ChatGPT prompts by role

Copy these into the session or into a shared team list. Swap the brackets. Do not paste real client names, employee IDs or confidential figures into a personal account.

  1. Executive assistant: "Turn these rough meeting notes into a one-page summary: decisions, open questions, owners and any dates. Call out topics that were talked about but never decided. Don't invent owners."
  2. Manager: "Rewrite this status update for [audience] in under 150 words. Keep every number exactly as written. List anything you softened or cut."
  3. Sales: "From these call notes about a fictional prospect, draft a follow-up email: problem they named, what we proposed, one clear next step, under 120 words. No invented prices."
  4. Client service: "Write a short reply that owns the delay, states the new date of [date], and stays friendly. Cap at 100 words. Call out assumptions I must confirm."
  5. Marketing: "Turn this product blurb into three LinkedIn post options: one educational, one story-shaped, one short and direct. No hashtag spam. Mark any claim that needs a source."
  6. Operations: "Given this process description, list the steps as a checklist a new hire could follow. Flag ambiguous steps and suggest one clarifying question for each."
  7. Finance (non-sensitive sample): "Explain what this spreadsheet column is doing in plain English, then suggest a clearer header name. Do not invent formulas I didn't provide."
  8. HR: "Simplify this policy paragraph so a non-specialist can follow it. Keep the legal meaning intact, and note every phrase that lost precision."
  9. Project lead: "Using this brief, name objections a careful buyer might raise, with a single-sentence reply to each. Highlight any reply that needs a real figure from me."
  10. Research / analyst: "Condense this long document into five executive bullets, then list three questions the text never answers."
  11. Anyone drafting: "Review my draft for fuzzy wording, gaps, and claims that sound firmer than the evidence. Quote each problem line."
  12. Anyone verifying: "List every assumption behind your last answer that I should confirm in a primary source, one assumption per line."

30-day follow-up after ChatGPT training

Training that stops on the day fades within a month. Give managers this light plan:

WeekManager actionWhat "done" looks like
1Confirm everyone is still on the Business workspace, not a personal Plus loginSpot-check three people in the admin member list
1–2Each person uses ChatGPT on one agreed repeatable taskThe task is named in writing (for example, "first draft of weekly status")
2Pair people for a 15-minute "show me your prompt" swapOne improvement each person will try next week
3Collect one failure story in a team meeting (confident wrong answer, awkward tone, near-miss paste)No blame; update the rules if needed
4Review: who used it weekly, time on the sample task before vs after, how often outputs needed major reworkDecide whether to add Premium seats, cut seats, or book a short follow-up session

Measure habits, not attendance. For the broader order of steps (rules before tools, tasks before prompts), see how to train employees to use AI.

FAQ: ChatGPT training for employees

How much is ChatGPT training for a team?

With Hero, private team ChatGPT training starts at C$2,500 before tax for a half day. 1:1 sessions are C$295 per 90 minutes. OpenAI's own Academy material is free.

Is ChatGPT Business safer than Plus for work?

Safer for the organization, yes, on the points that matter for work: company-owned workspace, no training on workspace data by default, and admin access to conversations. It is not a free pass to paste anything. Your policy, client contracts and Canadian privacy duties still apply.

Can we train on personal Plus accounts "just for practice"?

You can for fictional examples. Do not mix in real client or employee information. Practice on Plus also teaches the wrong account habit. Train on the Business workspace people will actually use.

Do you cover custom GPTs and Projects?

Yes, inside private team sessions: when a shared Project is worth it, how to keep sensitive files out of the wrong Project, and who may publish a custom GPT inside the workspace.

Is this ChatGPT certification?

No. Sessions are skill-focused, not an OpenAI exam prep. For a vendor credential, use OpenAI's own programmes.

What if we already use Microsoft Copilot?

Train on Copilot first if that is the approved tool for day-to-day email and documents. ChatGPT Business still makes sense for teams that want a strong general chat workspace alongside Microsoft 365. We help you pick on the Fit Call so you don't pay for two seats per person without a reason.
