Four hundred tenant emails and no plan for AI
A busy shared inbox, lots of vendor pitches, and no idea what is worth doing. A consulting assessment turns that into a written, ranked plan.

The situation
A property management company handles a few hundred residential units. Everything lands in one shared inbox: maintenance requests, rent questions, move-in paperwork, and vendor invoices. Software vendors keep promising that AI will "handle the inbox", and the owner has no way to tell which claims are real or where to start.
The friction
- Too many options, no criteria. Every vendor demo looks impressive, and none of them start from how this office actually works.
- Urgent messages get buried among routine questions.
- The same answers are typed again and again, and they vary from one staff member to the next.
- Staff turnover means know-how leaves with the person.
What Hero would do
| Branch | What Hero would do |
|---|---|
| Consulting | A Hero AI consulting assessment: interviews with the owner and front-desk staff, a look at the types and volume of messages that come in, and a review of the tools the office already pays for. The written plan ranks the opportunities by time cost and risk, says what to leave alone, names who owns each step, and sets a 90-day order. It also sets the rules: nothing goes to a tenant without a person approving it, and tenant personal information stays out of consumer AI tools. |
| Training | A half-day team training so staff can use the approved tool well for drafting routine replies from the office's own policies, and know how to check every draft. |
| Follow-on (optional) | When the office is ready, Hero can help put the plan in place. That is scoped from the written plan, and only if the owner asks. |
The outcome
What changed (qualitative):
- The owner has a written, ranked plan instead of a pile of vendor demos.
- Staff know what AI is for in this office and what it is not for.
- Rules about tenant information and human approval are written down before any tool is switched on.
- The office can act on the plan with its own team, with another provider, or with Hero.
We agree what to measure during the assessment, such as time to first reply on maintenance requests. We do not quote savings before they are measured.
