Thirty people, thirty different ideas about AI

Some staff use AI daily, some refuse to touch it, and nobody agrees on the rules. One training day gives everyone the same starting point.

The situation

A head office with finance, administration, and customer-service staff. The company already pays for Microsoft 365 or Google Workspace, and the AI features are switched on. A few people use them every day. Most tried once, got a strange answer, and stopped. Leadership wants the team to use AI well but has never said what "well" means.

The friction

  • Uneven skills. A handful of power users, a large middle that is unsure, and a few people who think AI is a fad or a threat.
  • No shared rules. Nobody knows what is fine to paste into a tool and what is not.
  • Generic training didn't stick. An earlier webinar showed poems and party invitations, not the team's real work.
  • Managers can't coach what they don't use.

Afternoon: hands-on labs by role (finance summaries, customer-reply drafts, meeting notes into action lists) using fictional examples. A short leaders' block on how to reinforce the habits for 30 days.
AI securityA one-page "what not to paste" rule walked through with the whole group, plus who to ask when unsure. If leadership wants a full written policy, that becomes an AI security assessment later.

The outcome

What changed (qualitative):

  • Everyone left with the same vocabulary and the same basic rules.
  • Each person practised at least one task from their own role.
  • The sceptics saw how to check AI output, which is usually what earns their trust.
  • Managers have a 30-day follow-up list instead of hoping it sticks.

We agree up front what to look at afterwards, such as a simple before-and-after survey of who uses the approved tool and for what. We do not quote time savings we have not measured.
